Aptly’s Bulk Email feature allows you to send mass emails to any group of your contacts.

After reading this article, you’ll be able to:

How to enable Bulk Email (admin only)

As an Admin, you have the ability to enable Bulk Email for users on your account.

  1. Click the settings icon in the bottom left corner
  2. Click Company Info & Team
  3. Under Roles & Permissions, click the edit icon for the role you’d like to enable
  4. Select Email - Allow sending of bulk messages
  5. Click Save

To send a bulk email from the Contacts tab

1. Click Contacts.

2. Define your audience for the bulk email. Use the quick filters at the top of the screen by choosing a specific contact type, location or happiness score from the drop down menus. 

3. Additionally, narrow down your audience with segments. A segment is a custom group of contacts based on information like an open ledger balance or a lease expiring in 30 days. Use an existing segment or create your own. 

To create your own segment, click Add Segment. A box will appear on the right. Enter the information and click Create Segment.

Helpful Segment Examples:

  • Upcoming renewals
  • Open ledger balance
  • Low happiness score
  • Lead status

4. Once you’ve chosen your audience, click the first checkbox in the column to bulk select every contact or individually select each contact.

5. Click Bulk Email on the right. A new window will pop up. Your recipients will be listed in the left hand panel. To remove a recipient, hover over their name and click X.

How to Use Communication Templates and Merge Fields

6. Enter your message, or click the communication templates icon (lightning bolt) and select a communication template. Once you’ve selected a template it will appear in the message window. 

Templates can include merge fields, which are a way to personalize your mass message to each recipient with data integrated from your property management software.

To add a new merge field click the plus icon.

7. To preview your message, click Show Message Preview on the right. This is how your recipients will see the message. Merge fields shown in yellow indicate missing information from your property management software. Be sure to correct any missing fields before sending.

8. When your message is ready to send, click Confirm

Bulk email contacts on an Aptlet Board in Table View

  1. From an Aptlet board, click table in the upper right corner
  2. Narrow down your audience with segments (optional)
  3. Click the first checkbox in the column to bulk select every contact or individually select each contact.
  4. Click Bulk Email.
  5. If you have multiple contact fields, select field options from the drop down.
  6. Follow steps 6 through 7 above.

Bulk email contacts on an Aptlet Board by stage in Board View

  1. From an Aptlet board, click Board in the upper right corner.
  2. Click the more icon (3 vertical dots) on the stage you'd like to bulk email and click Select All to select all cards in that stage. Or, click the checkbox in the bottom left corner of the cards you'd like to bulk email.
  3. Click Bulk Email.
  4. Follow steps 6 through 7 above.

💡 With Aptlets, if you have multiple contact fields, you can bulk email by a contact field
