Sequences is a powerful automation tool that allows teams to communicate with customers and assign work when moving a card to a stage. You can even delay messages by a specific amount of days. 💬
This will come in handy for lead management, internal operations, showing confirmations, move-out inspections, and much more!

How to Set Up Sequences (Email, Text/SMS)
- From a board, click the settings ⚙️ icon in the upper right corner.
- Click on Sequences
- Enter a title for the workflow (internal only).
- Under When Card Enters Stage, click the drop-down menu and select the stage you'd like to trigger the email to send.
- Under Generate, select Email, or Text/SMS.
- For Email and Text/SMS select the Template you'd like to use. Learn more about communications templates
- Under Send From, select the connected email or phone number you would like to send from.
- Under Send To, select click the drop-down menu and select a contact type. Card Main Contact is the person selected in a contact field. All Related Contacts is all contacts listed in the related tab. Assigned User is the person assigned to the card.
- Under When, click the drop-down menu and select when you'd like to send the email once it's moved to the stage. You can select between hours, days, and months.
- Under Then Move Card To, select the stage to move the card (select Same Stage if no movement is required)
- Click Save.
Now anytime someone moves a card to that stage, the chosen contact will receive an automated message!
How to Set Up Sequences (Tasks)
- From a board, click the settings ⚙️ icon in the upper right corner.
- Click on Sequences
- Enter a title for the workflow (internal only).
- Under When Card Enters Stage, click the drop-down menu and select the stage you'd like to trigger the email to send.
- Under Generate, select Task.
- Create the name of the task, follow by an assigned user (optional) and assigned due date (option). Due dates are based on the when the task is created.
- Under When, click the drop-down menu and select when you'd like to send the email once it's moved to the stage. You can select between hours, days, and months.
- Under Then Move Card To, select the stage to move the card (select Same Stage if no movement is required)
- Click Save.
Now anytime someone moves a card to that stage, the following tasks will be created, assigned, and with relative due dates
Editing Sequences
- From a board, click the settings icon in the upper right corner.
- Click on Sequences
- To edit a workflow, hover over the specific sequence and click Edit
Best Practices
- When editing a sequence, the user needs to have access to the From channel
- Sequences only trigger once per card.
- Create additional contact fields to send emails and SMS's based on specific user(s)
- 💡if a card is created prior to a sequence being created in a stage, the card will not trigger by default.
- 💡for a preexisting card, the sequence will run if the card gets modified.
