Sequences are a powerful automation tool that allows teams to communicate with customers and assign work when moving a card to a stage. You can even delay messages by a specific amount of days. 💬

This will come in handy for lead management, internal operations, showing confirmations, move-out inspections, and much more!

How to Set Up Sequences (Email, SMS/Text)

  1. From a board, click the Settings icon ⚙️ in the upper, right hand corner
  2. Go to Sequences and select New Action
  3. Enter a Title for the workflow (internal only)
  4. Under When Card Enters Stage, click the drop-down menu and select the stage you'd like to trigger the Email or SMS/Text Message to send
  5. Under Generate, select Email, or SMS/Text
  6. For Email or SMS/Text, select the Template you'd like to use

  7. Under Send From, select the connected email or phone number you would like to send from
  8. Under Send To, click the drop-down menu and select a contact type. Card Main Contact is the person selected in a contact field. All Related Contacts is all contacts listed in the Related tab. Assigned User is the person assigned to the card
  9. Under When, click the drop-down menu and select when you'd like to send the email or SMS/Text Message once it has moved to the stage you selected above (When Card Enters Stage). You can select between hours, days, and months
  10. Under Then Move Card To, select the stage to move the card to (select Same Stage if no movement is required)
  11. Click Save!

🤜 Now anytime someone moves a card to that stage, the chosen contact will receive an automated message!


How to Set Up Sequences (Tasks)

  1. From a board, click the Settings icon ⚙️ in the upper, right hand corner.
  2. Click on Sequences and select New Action
  3. Enter a Title for the workflow (internal only)
  4. Under When Card Enters Stage, click the drop-down menu and select the stage you'd like to trigger the email or SMS/Text Message to send
  5. Under Generate, select Task
  6. Chose a Task Field and chose whether the task is a Manual or a Template task. If Manual, enter in the tasks you'd like to create, followed by an assigned user (optional) and assigned due date (option). If Template, select a Task Template from the drop down menu
    💡 Due dates are based on the when the task is created
  7. Under When, click the drop-down menu and select when you'd like to create the task(s) once the card is moved to the stage you selected above (When Card Enters Stage). You can select between hours, days, and months
  8. Under Then Move Card To, select the stage to move the card (select Same Stage if no movement is required)
  9. Click Save!

🤜 Now anytime someone moves a card to that stage, the following tasks will be created, assigned, and with relative due dates!


Editing Sequences

  1. From a board, click the Settings icon ⚙️ in the upper, right hand corner
  2. Click on Sequences
  3. To edit a workflow, hover over the specific sequence and click Edit

💡 When you set up a sequence, a header will appear in Board view, showing the sequence(s) you've set up. You'll also receive a warning when you move a card to a stage that has a sequence

💡 When editing a sequence, the user needs to have access to the From channel

💡 Create additional contact fields to send Emails and SMS/Text Message based on specific user(s)

💡 If a card is created prior to a sequence being created in a stage, the card will not trigger by default

💡 For pre-existing cards, the sequence will run if the card gets modified
